Don’t just IGNORE the PNR, cancel the segment if not required
Always cancel with the specific segment number i.e, “X3” where 3 is the hotel segment number in the PNR
If all hotel segments are to be cancelled use XH rather than XI
If the hotel booking has been End Transacted
Cancel the segment,and end the transaction (R.XX +ER), check if the cancellation reference has been received

Group Bookings are NOT permitted through GDS
Most chains define a group booking as any booking with similar check-in/out dates adding up to more than 9 rooms
The group policy of a chain can be found in HODXX/GRPS, where XX is the hotel two letter chain code
Violation of the group booking policy will lead to cancellation of the bookings by the hotel
A hotel booking is considered confirmed when a CF (Confirmation) number, and an ‘*’ indicator are present in the segment
A hotel booking cancellation without a cancellation number returned in the OSI or Vendor Remark, is NOT successful
Some hotel chains may still return a cancellation number even if the cancellation deadline has passed. The cancellation number in this case indicates that the cancellation is confirmed HOWEVER the penalty applies. You still need to comply with the cancellation conditions.
Levels of Cancellation Policies
Cancellation policy can be found at:
Chain Level (HODXX/CANC) (where XX is the two letter chain code of the hotel)
Property Level (HOD12345/CANC) (where 12345 is the unique property code number of the respective hotel property)
Rate Level (HOV)
Chain and property level cancellation policies are general guidelines but the HOV policy is the most important and applicable to the rate booked.
